These Terms & Conditions explain the rules for using SystemaFlow, including our website, free and paid systems, downloads, audits, email resources, services and the NextMove app.
By accessing our website, downloading a resource, purchasing a product, submitting a form, using NextMove, or engaging with any SystemaFlow product or service, you agree to these Terms.
If you do not agree with these Terms, please do not use our website, products, services or app.

These Terms apply to:

• SystemaFlow free downloads

• SystemaFlow Masterworks
• SystemaFlow audits and services
• SystemaFlow email resources and forms
• the NextMove app
• any other SystemaFlow product, tool, resource or service that links to these Terms
Some products or services may also have additional terms, checkout terms, licensing rules or service descriptions. If there is a conflict, the more specific terms for that product or service will apply.
3. SystemaFlow Products and Resources
SystemaFlow provides operational systems, frameworks, documents, guides and resources designed to help individuals, founders, operators, teams and organisations create clearer ways of working.
Products may include:
• free systems and downloads
• Mini Packs
• Core Packs
• Vaults
• Masterworks
• templates, documents and guides
• operational frameworks
• digital books, doctrine or written resources
• audits, reports or advisory-style resources
• app-based tools such as NextMove
SystemaFlow products are designed to support better structure, clarity and execution. They do not guarantee any specific commercial, operational, legal, financial or personal result.
4. NextMove App
NextMove is a SystemaFlow-operated execution app designed to help users turn tasks into a clearer queue and focus on the next action.
NextMove may include features such as:
• account creation and login
• task creation
• queue management
• task history
• task execution and cancellation
• settings and themes
• data export and clearing controls
• analytics and monitoring
• future billing, notifications, AI or integration features
NextMove is currently provided as a web-based or app-like product and may continue to change as it develops.
We may update, add, remove, rename or change features over time.
5. Accounts
Some parts of SystemaFlow or NextMove may require an account.
You are responsible for:
• providing accurate account information
• keeping your login details secure
• controlling access to your account
• notifying us if you believe your account has been accessed without permission
• ensuring your use of the app complies with these Terms
You must not share access in a way that avoids licensing, payment or account restrictions.
We may suspend, restrict or close accounts where we believe there has been misuse, abuse, security risk, non-payment, breach of these Terms, or unlawful activity.
6. Account Data and Deletion
NextMove may allow you to export, clear or delete certain task data from inside the app.
Available controls may include:
• exporting your task data
• clearing your open queue
• clearing completed or cancelled history
• deleting task data while keeping your account active
• requesting full account deletion
Full account deletion is currently handled by support request. Submitting an account deletion request does not instantly delete your account. We may need to verify the request before removing account data.
Some records may need to be retained where required for legal, accounting, tax, fraud prevention, security or legitimate business reasons.

7. Payments, Checkout and Delivery
We may use third-party checkout providers such as Lemon Squeezy and Gumroad to process payments, free downloads, subscriptions, taxes, invoices, access links and product delivery.
Depending on the product, checkout provider and currency settings:
• prices may be shown in GBP, USD or another displayed currency
• taxes may be calculated and handled by the checkout provider
• downloads or access links may be delivered by email or through the checkout provider
• subscription access may depend on successful payment
• free downloads may still require an email address or checkout-style access flow
You are responsible for checking the product details, price, currency and checkout information before completing a purchase or download.
We do not store full payment card details on our own systems.
8. Subscriptions and Billing
Some products or app features may be offered as a subscription.
If you subscribe to a paid product or app plan:
• you agree to pay the displayed fees
• billing may renew automatically unless cancelled
• access may be restricted if payment fails
• cancellation terms may depend on the checkout provider or product terms
• taxes and invoices may be handled by the checkout provider
If NextMove or another SystemaFlow product introduces paid subscriptions, billing settings and cancellation options will be made available through the relevant checkout or account system.
9. Refunds and Cancellations
Because many SystemaFlow products are digital downloads, editable documents, instant-access systems or digital resources, purchases are generally non-refundable once access has been provided, unless otherwise required by law or stated on a specific product page.
For digital products, refunds are not usually offered where:
• the product has already been downloaded or accessed
• the purchase was made by mistake
• you changed your mind after access was delivered
• you expected a different outcome from using the resource
• you failed to read the product description before purchase

For subscriptions, cancellation stops future billing where applicable, but does not automatically create a refund for previous billing periods unless required by law or stated otherwise.
For audits or services, refund terms may depend on whether work has started, whether the intake form has been submitted, or whether a report has already been prepared.
Nothing in these Terms affects statutory rights that cannot be excluded under applicable law.
10. System Friction Audit and Other Services
SystemaFlow may offer audits, reports or service-based products, including the System Friction Audit.
These services are based on the information you provide.
You are responsible for:
• providing accurate and complete information
• ensuring you have permission to share any business information submitted
• reviewing recommendations before acting on them
• deciding whether advice or recommendations are appropriate for your situation
Audit reports, recommendations and findings are provided for operational guidance only. They are not legal, financial, tax, HR, medical, compliance or regulated professional advice.
We do not guarantee that implementing recommendations will produce a specific result.
11. Acceptable Use
You agree not to misuse SystemaFlow, NextMove, our website, downloads, forms, products or services.
You must not:
• use our products or app for unlawful purposes
• attempt to access another user’s account or data
• interfere with the security or operation of the website or app
• scrape, clone or mass-copy our content or systems
• upload malicious code, spam or harmful material
• abuse forms, checkout processes, support channels or account features
• attempt to bypass payment, licensing, rate limits or access controls
• use the app in a way that harms, overloads or disrupts the service
• misrepresent SystemaFlow materials as your own intellectual property
We may restrict, suspend or terminate access where we believe misuse has occurred.
12. User Content and App Data
When you enter information into NextMove or submit information through forms, you remain responsible for that content.
This may include:
• task titles
• notes
• descriptions
• operational information
• business details
• form responses
• uploaded or submitted information
You confirm that you have the right to submit this information and that it does not infringe the rights of others.
You should not enter highly sensitive personal, medical, legal, financial, confidential or regulated information unless you are comfortable doing so and understand the risks.
We may process user-entered content where needed to provide the app, support, account features, exports, deletion requests, troubleshooting, security, analytics or future optional features.

13. Future AI Features
SystemaFlow or NextMove may introduce optional AI-supported features in the future.
These may include features designed to help structure user-provided notes, messy task inputs, voice-captured work or task descriptions.
Where AI features are introduced, we will explain how they work and what data is processed.
AI-supported outputs should be reviewed by the user before being relied on. We do not guarantee that AI-generated or AI-assisted outputs will be accurate, complete, suitable or free from error.
You should not submit highly sensitive, confidential, medical, legal, financial or regulated information to AI-supported features unless the feature clearly explains how that information is handled and you are comfortable using it.
14. Future Notifications, Integrations and Automation
NextMove may introduce future features such as:
• push notifications
• reminders
• widgets
• email-to-queue
• webhook imports
• third-party integrations
• AI-assisted task creation
• automation features
These features may depend on third-party services, browser permissions, device settings or external platforms.
We do not guarantee that notifications, reminders, imports or integrations will always be delivered, processed or available at the expected time.
You remain responsible for checking your own tasks, deadlines and commitments.
15. Intellectual Property
All SystemaFlow content, systems, frameworks, documents, designs, copy, app interfaces, branding, product names, templates, resources and materials are owned by SystemaFlow Ltd or licensed to us.
This includes:
• website content
• SystemaFlow systems and packs
• frameworks and doctrine
• product structures
• downloads and editable files
• NextMove app design and interface
• written content
• graphics, naming, structure and layouts
• documentation and supporting materials
You are granted a limited licence to use SystemaFlow products according to these Terms and our Licensing & Fair Use rules.
You do not acquire ownership of SystemaFlow intellectual property by downloading, purchasing or using our products.
16. Licensing and Fair Use
SystemaFlow systems, downloads and resources are licensed for your own personal or internal business use unless we agree otherwise in writing.
You may not, without written permission:
• resell SystemaFlow products
• redistribute free or paid downloads
• upload our materials to marketplaces, template libraries or file-sharing sites
• claim our systems, frameworks or materials as your own
• package SystemaFlow materials into your own paid product
• use SystemaFlow resources as part of a client service, coaching programme or agency deliverable
• copy, clone or recreate our systems for commercial distribution

17. Free Downloads
Free downloads are still protected by copyright and licensing rules.
Downloading a free resource does not give you permission to:
• resell it
• redistribute it publicly
• upload it elsewhere
• claim it as your own
• use it as part of a paid client product or commercial toolkit
• train, scrape or package it into another product without permission
Free resources are provided as entry-level tools and may be updated, replaced or removed at any time.
18. Availability and Changes
We aim to keep SystemaFlow products, the website and NextMove available and useful, but we do not guarantee uninterrupted access.
We may:
• update products or app features
• change pricing
• rename or restructure products
• remove outdated content
• pause or discontinue features
• fix bugs or make improvements
• restrict access for security or misuse reasons
• perform maintenance
NextMove may experience downtime, bugs, sync issues or temporary interruptions, especially while it is being developed and improved.
We are not responsible for losses caused by temporary unavailability, updates, changes or discontinued features, except where liability cannot legally be excluded.
19. Third-Party Services
SystemaFlow and NextMove may rely on third-party services for hosting, payments, authentication, forms, analytics, email, monitoring, checkout, app infrastructure and other functions.
These may include services such as:

• Lemon Squeezy
• Gumroad
• Kit
• Tally
• Google Analytics
• Google Tag Manager
• PostHog
• Sentry
• other operational tools used to run the business or app
Third-party services are governed by their own terms and privacy policies.
We are not responsible for outages, changes, errors, data handling, pricing or service changes by third-party providers, although we will take reasonable steps to choose reputable providers.
20. No Professional Advice
SystemaFlow products, audits, reports, app features and written materials are provided for general operational, productivity and business-structure purposes.
They are not:
• legal advice
• financial advice
• tax advice
• HR advice
• medical advice
• compliance advice
• regulated professional advice
You should seek appropriate professional advice before making decisions that require specialist, regulated or legal expertise.
21. Results Are Not Guaranteed
SystemaFlow products are designed to help improve clarity, structure and execution.
We do not guarantee:
• business growth
• revenue increases
• cost savings
• productivity improvements
• team performance
• operational outcomes
• compliance outcomes
• investment readiness
• customer acquisition
• successful implementation
Your results depend on your context, team, execution, market, tools, resources and decisions.
22. Limitation of Liability
To the fullest extent permitted by law, SystemaFlow Ltd is not liable for indirect, incidental, special, consequential or economic losses arising from your use of our website, products, services or app.
This includes, but is not limited to:
• loss of profit
• loss of revenue
• loss of data
• loss of business opportunity
• business interruption
• loss of goodwill
• implementation failure
• reliance on incorrect or incomplete information
• issues caused by third-party services
Nothing in these Terms limits or excludes liability where it would be unlawful to do so.
23. Indemnity
You agree to indemnify and hold SystemaFlow Ltd harmless from claims, losses, liabilities, damages, costs or expenses arising from:
• your misuse of our products, website, services or app
• your breach of these Terms
• your breach of licensing restrictions
• your infringement of intellectual property rights
• your unlawful or harmful use of our materials
• content or information you submit through the app or forms
24. Termination
We may suspend, restrict or terminate access to SystemaFlow products, services or app accounts if we believe you have:
• breached these Terms
• breached licensing rules
• misused our products or app
• attempted unauthorised access
• failed to pay where payment is required
• created security or operational risk
• infringed our intellectual property
• acted unlawfully or abusively
Termination does not remove any obligations that should reasonably continue, including payment obligations, licensing restrictions, intellectual property protections and liability limitations.

We may update these Terms from time to time.
The latest version will be published on this page with an updated “Last updated” date.
Continued use of the website, products, services or app after updated Terms are published means you accept the updated Terms.
26. Governing Law
These Terms are governed by the laws of England and Wales.
